ARCBOX has been built by and is managed by Seven360 LLP(www.seven360.co.uk), on behalf of ARC Adoption North East (www.arcadoptionne.org.uk).

This Policy explains when and why we collect information, how we use it, the conditions under which we may disclose it to others and how we keep it secure. We may change this Policy from time to time so please check this page occasionally to ensure that you are happy with any changes. By using our ARCBOX, you are agreeing to be bound by this Policy. Who are we?

Seven360 is a small IT company based in the North East of England and have been creating IT systems for over 10 years. We have a contract with ARC Adoption North East to provide the ARCBOX platform. The contact for ARCBOX is Vanessa Martyn info@arcbox.co.uk.

Seven360 is committed to ensuring that your privacy is protected. All information and data by which you can be identified when using ARCBOX will only be used in accordance with this privacy statement.

Subcontractors

We do not use subcontractors to provide any of the ARCBOX services.

How do we collect information from you?

We only store data that ARCBOX users input into the system. We record the time you logged into ARCBOX and which applications you use.

What information is collected from you?

  • Adult User Data: Name and email.
  • Child/Young adult User Data: Name, date of birth and email(optional).
  • Contributions/Posts: Event description text, images (photos), documents (PDFs).
  • Family Information: Input by person responsible for a child. Relations (including siblings), friends and pets: name, image, relationship, biography (PDF - for close relations).
  • Google Analytics: We collect Google analytics for each page that you access within the system.

How is your information used?

We do not access or use this data or files in any way other than required to enable you to use the ARCBOX applications, for example to:

  • Authorised users to submit and mediate contributions.
  • Children to submit their own posts and post to siblings.
  • Provide you with reports about ARCBOX usage.

Google analytics, login and other usage-data is used by us to see which parts of our service are most popular and to feedback usage information to organisations via the ARCBOX admin sys.

We review our retention periods for personal information on a regular basis. We will hold your personal information on our systems for as long as is necessary for the relevant activity, or as set out in any relevant contract you hold with us.

Who has access to your information?

Only the appropriately authorised ARCBOX users can access ARCBOX information. This is controlled by a strict 'need to know' policy.

We will not sell or rent your information to third parties. We will not share your information with third parties for marketing purposes.

How can you access and update your information?

The accuracy of your information is important to us. If you think any information we hold is inaccurate or out of date, or you would like us to remove it please email us at: info@ARCBOX.co.uk. Alternatively, you can telephone 0191 5166466.

You have the right to ask for a copy of the information Seven360 hold about you (we may charge a small fee for information requests) to cover our costs in providing you with details of the information we hold about you.

Security in place to protect the loss, misuse or alteration of your information

When you give us personal information, we take steps to ensure that it is held and treated securely. All information is encrypted and protected in transit with 128 Bit encryption on SSL (When you are on a secure page, a lock icon will appear on your browser).

Once we receive your information, we make our best effort to ensure its security on our systems. Where we have given (or where you have chosen) a password which enables you to access certain parts of ARCBOX, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.

Our user account access mechanism and role based system only allows users to access the data and services they are authorised to access.

Use of Cookies

We do not use cookies.

ARCBOX contains links to other websites run by other organisations. This privacy policy applies only to our website. We encourage you to read the privacy statements on the other websites you visit. We cannot be responsible for the privacy policies and practices of other sites even if you access them using links from our website.

16 or Under

We are concerned to protect the privacy of children aged 16 or under. If you are aged 16 or under please get your parent/guardian permission beforehand whenever you provide us with personal information.

Transferring your information outside of Europe

ARCBOX services are delivered using servers based in the UK. If you use our services while you are outside the EU, your information may be transferred outside the EU to provide you with those services.

Advertising

ARCBOX has no advertising and is not used in any way to collect or provide advertising or marketing related data.
